Hospital Registration and Reporting Walkthrough

I tried to register but I never got an email confirmation, what do I do?

Who should I contact if I have a programmatic question?
Hospitals should reach out to their states SHIP Coordinator if they have programmatic questions. For SHIP Coordinators, please contact SHIPTesting@hrsa.gov for any additional programmatic questions you may have.
Has the deadline for reporting in Quarter 1 been extended?

Yes, Quarter 1 reports will be due on December 31, 2021.

When are quarterly reports due?

Quarterly reports are due 30 days following the end of the quarter; however, the deadline for the first quarterly report has been extended to December 31, 2021.

Our hospitals have not yet received their sub-award. Do they need to report in the portal before they receive funds?

HRSA does not expect hospitals to report prior to receiving their subaward. We do encourage hospitals to report testing numbers for all quarters covered by the grant.

Do hospitals need to report after they expend their full sub-award?

Hospitals are not required, but are encouraged, to report testing numbers after they expend their full sub-award. This is one way that we can tell the rural story of the impact of funds. While we know hospitals are facing so many challenges, any effort they can make to get the testing numbers in is a way to highlight this story for rural communities.

Is the number of tests meant to be those supported by the award? Or the number of tests in general that the hospital has performed?

Hospitals should report the number of COVID-19 tests performed by their hospital (both on site and in the community).

How should the hospital de-duplicate tests that are done by provider-based RHCs that are part of their system?

Hospitals should include tests that they have provided through partnerships in their communities, but should avoid reporting tests that were conducted under the RHC COVID Testing or Testing and Mitigation grants.  If needed, hospitals are allowed to provide their best estimate.

I am reporting on behalf of multiple hospitals for my health system, but I get an error message concerning my email when I try to log in. What should I do?

Due to security measures, the system requires a different email for each CCN. Your log in credential will continue to be the CCN and the password.
